Job purpose and Key Deliverables

  • To provide comprehensive and proactive support to the Operations Director on a wide range of complex tactical and administrative tasks whilst prioritizing and taking personal responsibility for all activities to enhance effectiveness.

Key Accountabilities
Business

  • Manage the work schedule (electronic calendars, visits and work plans) for the Operations Director as required.
  • collates and share the Area calendar with contributions received from all other functions before year end and ensure all meetings align with the Regional calendar.
  • Manage and reconcile all outstanding expenses on the director’s vendor account with reasonable business justification for successful approval
  • Develop and implement reports, memos and other analysis and communication materials for internal and external use using the Microsoft office suite (Word, Excel & PowerPoint)
  • Co-ordinate top leadership meetings, internal and external engagements, conferences (local and global), workshops and team-build events with professionalism and a high level of competency.
  • Responsible for organising extensive global travel arrangements (transportation, hotels and visas) as required.
  • Organize monthly breakfast sessions between employees and the Ops Director, send out minutes of the meeting and follow up on actions
  • Perform routine transactions such as cash advance, expense statements and retirements as required
  • Purchase and maintain office supplies inventories for the office of the director Prepare POs for other vendors
  • Respond to emails and all incoming correspondence
  • Prepare complex presentations and briefings
  • Support all visitors coming into the factory on business meeting or machine installation by making transportation and accommodation arrangement.
  • Provide other Administrative support as required.

People

  • Effectively interface with the Executive Assistants of the West Africa Area Leadership Team to achieve targets
  • Develop self through training, learning and development opportunities
  • Identify areas for improvement and execute improvement plans as required.
  • Develop good working relationship across the Area with all the Operations Managers.

Job Title: Production Engineering Manager

  • To effectively represent customer (production) needs in Engineering projects, ensuring requirements/ acceptance criteria are fully understood

  • Drives together with Production managers the identification of improvement opportunities, prioritizes them based on impact on production plan and ensures development of action plans and their implementation.
  • Leads the development of maintenance processes in order to find the optimum levels of corrective, preventative and predictive maintenance and the optimum method of delivery of these maintenance types.

Job Title: Transport Service Centre Manager

  • To develop and manage the implementation of physical Logistics strategies across the area. In doing so, take full Management accountability for Logistics related activities (both Financial and Service) and provide direction to ensure responsiveness to market changes, secure market supply, ensure achievement of optimal utilisation of resources and meet performance targets.
  • To implement policies, procedures and guidelines in line with the Regional Strategic objectives and business focus, culminating in effective management of the key processes in the Integrated Logistics functions within BATWAA.
  • The role holder will ensure that logistics business objectives are achieved and provided to the customers and the factory using the right logistics capabilities. This will include the management of strategic outsource partners such as BAT’s Warehouse partners across West Africa, 3PL Suppliers in Cameroon & Ghana, Distributor in Nigeria via Secondary supply chain. Managing Spare parts vendors via flawless execution of planning and inventory management.
  • Responsible for the execution of Logistics and will focus on the Primary network i.e. BATWAA Operations, but the role will also be responsible for identifying opportunities to link the primary and secondary logistics networks in Nigeria, Ghana & Cameroon.

Essential Requirements

  • Drive the implementation of the regional logistics strategy within BATWAA and share best practice across both the regional logistics community.
  • To be accountable for and manage all Logistics Services in BAT Ghana, BAT Cameroon & Factory Logistics in Nigeria.
  • To provide tactical direction to the logistics services providers in Ghana & Cameroon to enable the delivery of significant savings in transport spend
  • To drive and key change and integration initiatives in logistics to deliver integrated and cost effective logistics solutions across and within the BATWAA transport network.
  • To contribute to the development of the end-to-end supply chain strategy for logistics in BATWAA by driving logistics integration of suppliers, contracts, performance and processes.
  • To support a balanced score card approach to performance measurement with standardised supplier metrics such as OTIF (on time in full, transport cost per mille) and appropriate behaviours in BATWAA to obtain unified performance measures and consistent high level of service.
  • To fully understand TM&D’s (Secondary supply chain) business requirements and translate this into required logistics capabilities for integration
  • To drive compliance to BAT EHS policies and procedures in all the Warehouses and Logistics operations
  • To embrace a leadership style that enables alignment across the end to end supply chain (operations, commercial / end market, supply, demand, finance, security etc) in BATWAA.
  • To build change capability across the local logistics community, the suppliers and logistics by demonstrating awareness, listening and proactive change impact / risk management.
  • To drive a culture whereby absolute control of the Logistics process is of paramount importance.
  • To lead the engagement with all internal and external bodies in all aspects of Logistics compliance.
  • To ensure a culture of trust and partnership/collaboration is always maintained with the relevant 3PLs.

  • To own the executional interface with 3rd party logistics service providers, for all factory logistics activities, in BAT Ghana & Cameroon
  • To manage the performance of the Transportation Service Centre working within BATWAA looking into factory logistics, BAT Ghana logistics & BAT Cameroon logistics
  • To ensure contractual commitments of the suppliers are delivered and exceeded, managed via clearly defined governance structure (target, performance, support).
  • To manage the integrity of the Logistics process and system and compliance aspects with providers of 3rd party Logistics services
  • To ensure contracts are completed for all relevant agreements and that SLA’s (Service Level Agreements) have been agreed with the relevant business owner.
  • Monitor and report performance of the suppliers and use the information for benchmarking the logistics process against the best and other OPCO’s to improve performance.

Job Title: Finished Goods Warehouse Assistant

  • He shall be responsible for the management of receiving and storage of all wrapping materials both inbound and outbound.
  • He shall ensure that right materials and right quantity are supplied to production via Seven Day Store.
  • He shall understand and fulfil requirement for critical goods and services.

Essential Requirements
Operational/Technical/Professional Results:

  • Management of Records in the Warehouse.
  • Maintenance of proper storage of all company stocks in the warehouse, effective receipts of stock and despatch to external/internal customers, avoidance of loss, damage or write- offs.
  • Enforcement of compliance with BAT EHS/EMS guidelines in all the warehouse activities.
  • Minimisation of cost through effective use of resources.
  • Produce error-free month-end report after stocktaking and reconciliation for all warehouses.
  • Ensure that the procedure for receiving incoming materials from the supplier and its supplies for seven days store are strictly adhered to.
  • Carry out SAP inter-warehouse transfer from WI (Wrapping Material Store) to 7I (Seven Day Sore) and (Bonded warehouse).
  • Confirm daily FGS SAP inter-warehouse transfer and reconcile with the physical stock in the warehouse.
  • Prepare weekly stock status report for Warehouse, Bonded warehouse & other external warehouses
  • Ensure No Scan No Move
  • Ensure that the method of First-In First-Out (FIFO) is strictly adhered to.
  • Ensure close monitoring of all materials within the stipulated shelf-life.
  • Ensure reduction in truck demurrage cost due to waiting time in the factory.
  • Utilisation of truck and all equipment in other to meet OTIF.
  • Liaising with Planning and Import desk for full visibility of inbound materials.

Leadership Results:

  • Provide purposeful leadership to enhance effective skill development of subordinate for high performance and career enhancement.
  • Develop self and team member in achieving the quality objective of the warehouse.
