The Alliance for International Medical Action (ALIMA) is an independent humanitarian medical NGO that was created in 2009 by professionals of humanitarian medicine. ALIMA’s mission is to provide medical care in emergency situations or medical catastrophes.
We are recruiting to fill the position below:
Job Position: Admin Supervisor
Job Location: Katsina
Employment Type: Full-time
Mission and activities
- The Assistant Administrator reports directly to the Project Administrator, He/She supervises an administrative Staff, cleaners and cook.
Major Responsibilities
- In close coordination with the Project Admin calculate and create the monthly payroll. Follow up on remittances.
- Assist the Admin in hiring, organizing interviews carry out formalities for employees at project level, according to labor laws, archiving and updating individual employee files, informing them on their rights and preparing all mandatory tax declarations, pensions remittances, in order to ensure legal compliance;
- Keep record of Performance Objectives Plans for project staff and update monthly on POP in collaboration with project Admin Manager
- In collaboration with project Admin Manager make sure all the performance reviews are done according to ALIMA policies for all National staff
- Assist the Project ADMIN, and/or team leaders and supervisors to draw up annual holiday planning and staff shifts in order to forecast HR needs and to ensure HR availability for the project activities;
- Under the Admin Manager’s supervision, execute Administrative and legal related tasks, checking payroll calculations (days off, unpaid leaves, sick leaves, overtime, salary advance, etc.) and updating personal files in order to ensure accuracy, compliance and on time payments.
- Support the Project Admin in implementing the internal communication policies in order to boost staff active participation and ALIMA commitment
- Ensures that his team members follow training and awareness sessions and apply standards relating to the prevention of abuse

- Contributes to creating and maintaining a fulfilling and protective environment.
- Prepare and archive formal certificates and other HR documents when needed in order to facilitate hiring processes.
- Supports the Admin Manager in ensuring compliance, purchase procedures, follow up of payments, Cash advances and settlement, bank reconciliation follow up on statutory remittances.
- Assist Project admin in monthly accountancy closure is taking place and controlled, with due diligence and on due time;
- Ensure achieving of finance documents and staff files in the drive.
- Supports the Finance Supervisor to input of financial information to and SAGA and staff information on Odoo.
Qualifications
- Bachelor Degree in Finance / BA
- 4 Years of experience with INGO/NGO in finance and Human Resource
- Language: English, Hausa is plus
Education:
- A Bachelor’s degree in Finance/Human Resources Management, Administration, Business Management, or other related fields and a professional HR qualification.
Experience:
- Proven track record in human resources administration and management;
- 4- years professional experience in human resources management with an International NGO
- Knowledge of the institutional, legal and policy framework of employment and HR management in the Nigeria.
Skills and Competencies
Essential requirement:
- Professional-level competency in English orally and in writing.
- Good knowledge Excel and of accounting software’s SAGA is a plus.
- Highly organized, detail oriented and able to work under pressure.
- Disciplined, rigorous, self-motivated and able to set and meet deadlines and work autonomously
- Capacity for analysis, synthesis and reporting of large amounts of information
- Knowledge of using an ERP or Human resource management system.
Preferred:
- Proven skills in finance, administration and management of human resource;
- Demonstrated experience in applying human resources management protocols;
- Excellent inter-personal skills, and a good understanding of human relationships;
- Good guidance, counselling and negotiation skills, at all levels;
- Good team work skills;
- Adherence to ALIMA Charter.
- Odoo is an Asset
- Hausa language is a plus.
