Administrative Manager

ROLE SUMMARY 

The post holder will be responsible for managing the daily administrative functions at ITEX. He or She will oversee fleet and logistics management, general office administration, manage inventory, oversee the facility maintenance team as well as handle procurement.  

DUTIES AND RESPINSIBILITIES 


  • Maintain an inventory of all company assets and ensure all old and new assets are tagged appropriately following the tagging convention approved by the organization.  
  • Assign work tools to staff and follow-up with IT and HR to ensure they are returned upon exit.  
  • Lease with Mechanics for vehicle repairs and servicing. 
  • Ensure all vehicle particulars are renewed a week before expiration.  
  • Coordinate repairs and servicing of office equipment like laptops, phones,
  • Raise requisitions for purchase and ensure all monies are accounted for and reconciled appropriately.  
  • Source for vendors and negotiate pricing before any job is done.  
  • requisitioning new Equipment and Supplies as needed. 
  • Help in organizing events, including ordering materials.
  • Liaising with state and Local Government agencies to ensure all permit and licenses (LASSA, Land Use Charge, fire safety, Road Safety, VIO, etc) are renewed one month before expiration) 
  • Supervise the drivers and dispatch riders and their vehicles/bikes to ensure vehicles are road worthy, safe and clean for use always.  
  • May be required to oversee and administer the day-to-day activities of the office to ensure productive and efficient operations. 
  • Serve as the primary point of administrative contact and liaison with other departments. 
  • Assists in the coordination, supervision, and completion of special projects, as appropriate. 
  • Manage the relationship with NNPC and ensure all payments are made even before we run out of credit.  
  • Contribute to team effort by accomplishing tasks in an efficient, professional, and effective manner.  
  • Ensure timelines assigned for tasks are always met and challenges that may impact deliverables and agreed timelines are reported.  
  • Handle sensitive information in a confidential manner. 
  • Supervise the maintenance team to ensure all preventive maintenance and repairs are carried out as scheduled.
  • Supervise the cleaners to ensure all areas are clean and ready for use daily.
  • Any other duties that may be assigned.  

REQUIREMENTS

  • Minimum educational qualification: BSC or HND in any course
  • 3 to 4 years’ experience in a similar role
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Knowledge of tracking tools/software
