We are recruiting to fill the position below:

Job Position: Country Office Administrative Support

Job Location: Abuja (FCT)

Job Description

  • Malaria Consortium requires qualified admin support staff who will provide support to the Country office operations team and states in ensuring, ease of workload, fast-track conclusion of processes to enable full documentation and payment of vendors, and resolve pending administrative tasks.

Specific Task and Activities

  • Receive briefing on daily task from the Admin/Operations focal point.
  • Liaise with the Procurement & Admin Officers in coordinating vendor payments and administrative tasks for SMC Philanthropic Funding project.
  • Review, scanning, and printing of support documents for SMC related payments and share same with the senior procurement officer for confirmation and onward presentation to finance for final payment.
  • At the directive of the senior admin officer, support in computing monthly generator timing record.
  • Perform other administrative and operational duties as may be assigned by the operations teams.
  • Ensures proper filing of SMC related support documents for payments.
  • Support the logistics officer in collating all Travellers boarding passes and filling same into the folder as directed by the logistics and admin officer.
  • Support the logistics officer in collating all supporting documents on logistics related service engagement for vendor payment processing.
  • Support the senior admin officer in confirming and Reconciling of all PF-SMC asset/inventory in Abuja office and ensure that they are physically tagged in accordance to the allocated asset/inventory tags in the PF-SMC register.
  • Review all the task and submit report.

Deliverables
At the end of the assignment, the expected deliverables include:

  • Admin / Operations TA
    • Ensure completeness of documentation for all final vendor payments.
    • Assignment report on the status of all vendor payments.

Qualifications and Experience
Essential:

  • Bachelor’s Degree in Administration, Social Sciences, Project Management or similar.
  • A minimum of 2-years of experience in a related role.
  • Previous experience within the INGO sector and in a related role.
  • Superior attention to detail.
  • Excellent communication skills.
  • Good inter-personal, communication and planning skills.
  • Strong Microsoft office suite skill.
  • Expense reporting.
  • Ability to work independently in an organized manner but within an integrated team.

Desirable:

  • Person resident in and working experience in the State of Assignment
  • An in-depth experience in similar positions/assignment
  • Previous working experience with MC and in SMC are added advantages.

Timing of Consultancy: October - December - 2023:

  • Country Office Admin Support (SMC 2023) - 60 TA-days.
