Job Position: Executive Technical and Admin Assistant (ETAA)

Job Location: Lagos

Job Summary


  • Provide efficient and responsive full executive, administration and technical support to the Managing Director.  
  • The ETAA will also be responsible for providing full secretarial assistance during the director’s absence to ensure a high level of service is maintained.

Duties & Responsibilities

  • Manage, maintain and organise the director’s schedule and calendar coordination.
  • Co-ordinate internal and external meetings involving the director, research and collate necessary materials and follow up as required.
  • Support projects related to information technology through various applications and dashboard.
  • Provides professional support to the director on strategic, operational, secretarial/administrative matters, attend internal meetings and ensures the director’s directives are executed across the business.
  • Act as the point of contact between the director and customers (internal and external) where applicable.
  • Receive calls, take messages, open, sort, filter, route and distribute correspondences and correspondences on behalf of the director
  • Maintain diary, schedule meetings and appointments and provide reminders
  • Conduct research, collate and analyse data to prepare reports and documents.
  • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
  • Prepare internal and external documentations including reports, presentations and speeches as assign from time to time.
  • Organizes presentation, strategy research, and takes assigned meetings on behalf of the director
  • Prepare necessary documentation for meetings, take meeting minutes and distribute as required.
  • Co-ordinate the director’s travel itineraries, logistics, accommodations, travel connections, transportation, and anticipate potential problems to ensure engagements and travels runs smoothly.
  • Prepare correspondence on behalf of the director, including the drafting of letters and general replies.
  • Conduct diary meetings with the director to discuss upcoming engagements, invitations and other requests.Ensure the director is fully briefed on, or prepared for, any engagements she is involved in. Keep and maintain an accurate record of papers and electronic correspondence on behalf of the director.
  • Ensures security of data, network access and backup systems.
  • Any other duties assigned from time to time.

Education

  • B.Sc (Second Class Upper) or HND (Upper Credit) in Social Sciences or any relevant field.
  • Minimum of five (5) years of work experience and minimum of two (2) in a similar position.
  • Professional Qualifications will be and added advantage.
  • Consulting sector experience is an added advantage.
  • Knowledge and use of SPSS is an added advantage.

Competency & Skill Requirements:

  • Excellent working knowledge of MS office Suit including Outlook, Word, Excel, Access, Publisher and powerpoint.
  • Excellent command of English language, great verbal and written communication skills.
  • Strong analytical and excellent presentation skills.
    • Ability to multitask and prioritize daily work load.
    • Able to maintain a high level of discretion and confidentiality.
    • Strong organization, planning and time management Skills.
    • Ability to work under pressure and meet tight deadlines with minimal or no supervision.
    • Excellent interpersonal and stakeholders’ engagement skills.
  • A good deal of common sense, creativity, etiquette, swift and outside the box thinking.
  • Shorthand and excellent typing skills, speed and accuracy essential.
  • Ability to conduct research, analyse and report.
  • Ability to prepare excellent ‘Speaker’ slides and presentations.
  • Excellent in Proposal Writing skills
  • Able to source for and package Bid/ Tenders
  • Experienced with social media and Graphics (e.g Adobe Photoshop, Canva, etc)
  • Self-motivated, willing to work flexible hours if necessary when experiencing a challenging task.
  • Ability and Willingness to learn fast, and constantly strive to improve performance.
