Position Overview


  • The Facility Manager is responsible for overseeing the efficient operation and maintenance of a facility or multiple facilities.
  • They ensure that the physical environment is safe, functional, and conducive to the organization's operations.
  • This role involves managing facility staff, coordinating maintenance activities, and implementing strategies to optimize facility performance.

Key Responsibilities
Facility Maintenance:

  • Develop and implement maintenance schedules and procedures to ensure the ongoing functionality of all systems and equipment within the facility.
  • Conduct regular inspections to identify and address maintenance needs, including repairs, replacements, and upgrades.
  • Coordinate with external vendors and contractors for specialized maintenance services as needed.
  • Oversee the operation and maintenance of HVAC systems, plumbing, electrical systems, and other essential facility infrastructure.

Safety and Security:

  • Develop and implement safety protocols and procedures to ensure compliance with relevant regulations and standards.
  • Conduct regular safety inspections and risk assessments to identify potential hazards and address safety concerns.
  • Implement security measures to protect the facility, employees, and assets from unauthorized access, theft, and vandalism.
  • Coordinate emergency response procedures and ensure staff are trained in emergency protocols.

Space Management:

  • Plan and optimize the use of space within the facility to meet operational needs and accommodate growth.
  • Coordinate office moves, renovations, and space reconfigurations as required.
  • Maintain accurate records of space allocation and usage to facilitate efficient space management.

Budgeting and Cost Management:

  • Develop and manage the facility budget, including forecasting expenses, tracking spending, and identifying cost-saving opportunities.
  • Negotiate contracts with vendors and service providers to ensure cost-effective solutions for maintenance and facility services.
  • Monitor utility usage and implement strategies to reduce energy consumption and operating costs.

Team Leadership:

  • Train and Supervise facility staff, including maintenance technicians, custodial staff, and security personnel.
  • Provide leadership and guidance to the facility team, fostering a positive and collaborative work environment.
  • Conduct performance evaluations, set goals, and provide feedback to ensure high levels of performance and productivity.

Compliance and Regulatory Affairs:

  • Ensure compliance with relevant regulatory requirements, building codes, and industry standards.
  • Maintain documentation and records related to facility permits, inspections, and certifications.
  • Stay informed about industry trends and best practices in facility management to inform decision-making and continuous improvement efforts.

Qualifications

  • Bachelor's Degree in Facility Management, Engineering, Business Administration, or related field (preferred).
  • 4 - 6 years of relevant work experience.
  • Proven experience in facility management or a related field, with a track record of successful facility operations.
  • Strong knowledge of building systems, maintenance practices, and safety regulations.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to multitask, prioritize tasks, and manage time effectively.
  • Proficiency in computer applications, including facility management software and Microsoft Office suite.
