International Medical Corps Recruitment for HR / Admin Intern

We are recruiting to fill the position below:

Job Position: HR / Admin Intern

Job Location: Abuja 
Job Type: Full Time

Scope of Work


  • The intern will support the HR/Admin department in the day-to-day management of the Abuja office. In this position the intern is expected to learn and support on the department’s daily administration routines and procedures while also focusing on the IMC’s overall mission.

HR Related:

  • Assist with onboarding and orientation of new hires in Abuja office.
  • Documentation of new hires and file management
  • Support with Scanning documents and updating the online staff database.
  • Support with Filing, labelling of all files accordingly of hard copies of staff document.
  • Support with compilation of Health Insurance and Life Insurance Documents

Administration:

  • Assist in coordinating booking and tracking of travels and accommodation as well & documentation of payment documents.
  • Assist in following up with immigration and related statutory agencies for staff working and traveling permit
  • Scanning of approved documents for relevant documentation and classifying in respective soft/hard file.
  • Support in maintaining and managing IMC offices and guest houses, ensuring a clean, organized, and conducive working environment, and in accordance with relevant SOPs.
  • Report to HR/Admin Officer on any repairs or equipment servicing.
  • Support in mmanaging and supervising the cleaners and cook.
  • Assist in organizing and coordinating meetings, workshops, and other events.

Documentation and Records Management:

  • Assist and maintain efficient filing systems for both physical and electronic records on administrative matters.
  • Support in ensuring proper documentation of official communications, reports, and other relevant documents.
  • Support archiving processes and facilitate retrieval of records as needed.

Financial Administration, Payments, and Reconciliation:

  • Assist in coordination with the finance team to ensure timely and accurate financial transactions for vendor payments.
  • Prepare payments for staff hotel accommodation and follow up on reconciliation between Finance and relevant vendors.

Qualifications
 Education:

  • B.Sc / B.A or HND in Social Sciences
  • Work Experience: Fresh graduate who has completed NYSC and is residing in Abuja.

Demonstrated Skills and Competencies:

  • Good computer skills (Excel and word).
  • Excellent interpersonal, organizational and time management skills
  • Ability to maintain the highest level of degree of discretion and confidentiality

Language Skills:

  • Fluent written and spoken English
