Job Overview


  • As a Personal Assistant (PA) to the Managing Director (MD), you will be responsible for providing comprehensive administrative and secretarial support to ensure the smooth functioning of the MD’s office.
  • This role requires exceptional organizational skills, discretion, and the ability to handle confidential information with integrity.
  • The PA will act as a liaison between the MD and internal/external stakeholders, managing schedules, coordinating meetings, and handling correspondence.
  • The ideal candidate will be proactive, efficient, and capable of multitasking in a fast-paced environment.

Key Responsibilities

  • Calendar Management: Efficiently manage the MD’s schedule, including organizing meetings, appointments, and travel arrangements.
  • Communication: Screen and prioritize emails, phone calls, and correspondence for the MD, ensuring urgent matters are addressed promptly and non-essential items are appropriately handled.
  • Travel Arrangements: Make travel arrangements for the MD, including booking flights, accommodation, transportation, and preparing travel itineraries.
  • Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required by the MD, ensuring accuracy and professionalism.
  • Confidentiality: Handle sensitive and confidential information with discretion and maintain confidentiality at all times.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and other events, including preparing agendas, collating documents, and ensuring all necessary arrangements are in place.
  • Information Management: Maintain and organize files, records, and databases, ensuring easy retrieval of information as needed.
  • Relationship Management: Build and maintain effective relationships with internal and external stakeholders, including clients, partners, and colleagues, on behalf of the MD.
  • Expense Management: Process and track expense reports, invoices, and reimbursements for the MD.
  • Task Prioritization: Prioritize tasks and manage time effectively to ensure deadlines are met and objectives are achieved.
  • Problem Solving: Anticipate potential issues and proactively resolve them, seeking input from the MD when necessary.
  • Ad Hoc Support: Provide additional administrative support and undertake ad hoc tasks as requested by the MD.

Requirements

  • Bachelor's Degree in Business Administration, Secretarial Studies, or a related field preferred.
  • Proven experience as a Personal Assistant or Executive Assistant to senior management.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Exceptional organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Flexibility to adapt to changing priorities and work under pressure.
  • Professional demeanor and appearance.
  • Ability to work independently with minimal supervision.

Preferred Qualifications:

  • Previous experience in a similar role within the industry.
  • Additional certifications or training in office management or administrative support.
  • Knowledge of project management tools and techniques.
