Secretary

We are looking for a dedicated and passionate school secretary to join our team.The School Secretary will serves as the primary administrative support for the school's staff, students, and parents. They are responsible for maintaining efficient office operations, providing excellent customer service, and ensuring the school's administrative tasks are carried out effectively.

Key Responsibilities:

Administrative Support:


  • Greet and assist visitors, students, and parents who come to the school office.
  • Answer and direct phone calls, taking messages when necessary.
  • Manage and maintain the school's filing systems, records, and databases.
  • Prepare and distribute school correspondence, including newsletters and announcements.

Student Records:

  • Maintain accurate student attendance records.
  • Assist in the enrollment and withdrawal process, including managing student registration paperwork.
  • Update and maintain student records, including contact information and emergency contact details.

Scheduling:

  • Coordinate appointments and meetings for school staff, teachers, and administrators.
  • Manage the school's master calendar, including scheduling events, parent-teacher conferences, and examinations.

Communications:

  • Serve as a liaison between parents, students, and school staff, relaying information and addressing inquiries.
  • Assist in the distribution of report cards, progress reports, and other academic documents.

Financial Tasks:

  • Handle financial transactions, such as collecting fees, managing petty cash, and processing payments.
  • Assist with the preparation of budget reports and financial documentation.

Office Supplies and Equipment:

  • Maintain inventory of office supplies and order replacements as needed.
  • Ensure office equipment, such as copiers and printers, is in working order and arrange for repairs or maintenance when necessary.

Safety and Security:

  • Oversee school security measures, such as monitoring visitors and implementing safety protocols.
  • Assist with emergency drills and evacuation procedures.

Qualifications:

  • National diploma/High school diploma or equivalent; additional relevant education or training is a plus.
  • Prior experience in administrative or secretarial roles, preferably in an educational setting.
  • Proficiency in office software (e.g., Microsoft Office Suite) and computer skills.
  • Strong communication and interpersonal skills.
  • Organizational and multitasking abilities.
  • Attention to detail and accuracy.
