Job Position: Executive Administrative Assistant and Translator

Job Location: Victoria Island, Lagos

Overview


  • Acting as the administrative point of contact between the CEO and Management and other staff, you will take and receive calls, take messages, routing correspondence to the appropriate staff.
  • You will be handling executives’ requests and queries appropriately, work on reports, PowerPoint presentations, excel files in order to present updates to the Board, Stakeholders and staff.
  • You will also Interpret written or spoken material into to English or a Niger- Congo Language, ensuring meaning and context are maintained.

Responsibilities
Executive Administrative Assistant:

  • Act as the point of contact between the CEO and Managers, staff, customers, shareholders.
  • Conserves CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Welcomes guests and customers by greeting them in person or on the telephone; answering or directing inquiries. Offering beverages if in person.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares and completes projects, reports, presentations, charts and briefs for CEO and if required by assigning work to support admin as need with appropriate instruction; following up on results. Develop and carry out an efficient documentation and filing system.
  • Secures information by completing data base backups.
  • Maintains CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Attends meetings Take dictation and minutes and accurately enter data.
  • Represents the executive by attending meetings in the CEO’s absence; listening and taking notes and speaking for the executive under his instructions if required.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by ensuring completing of preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Helps the CEO and other staff maintain professional and technical knowledge by announcing educational workshops; providing professional publications; establishing business networks; participating in professional societies.
  • Managers Receptionist and other admin support with appropriate training of policies and procedures, grooming policies, code of conduct etc.

Translator:

  • Reads through or listens to material in one language, ascertains understanding of the meaning and context of that material, and converts it into a second language, making sure to preserve the original meaning.
  • Translates a variety of documents including literary, legal, research, technical, scientific, educational, and commercial materials.
  • Consults with subject matter by industry experts and other colleagues and in order to understand specialized technical data, will translate them appropriately so information Is understood.
  • Refers to online translation tools for additional assistance with translation.
  • Translates online, video, and television media by providing subtitles as required.

Qualifications
Executive Administrative Assistant:

  • University Degree in relevant industry, additional qualification as personal assistant and translator would be considered an advantage.
  • Proven experience as an Executive Administrative Assistant and Office Manager.
  • Full comprehension of office management systems and procedures.
  • Up-to-date with advancements in office software and applications.
  • Ability to multitask and prioritize daily workload.
  • High level verbal and written communications skills.
  • Excellent knowledge of MS Office.
  • Proficiency in English and Niger-Congo Languages.
  • Exemplary planning and time management skills.
  • Discretion and confidentiality.

Translator:

  • Fluency in Niger-Congo Languages and English.
  • Written and Verbal Communication.
  • Understanding of English grammar.
  • Knowledge of Specific Subjects.

Salary
Salary N192,000 - N250,000 Monthly (commensurate with experience). It is considered a managerial level management position.
