Job Position: Front Desk Administrator

Job Location: Lagos

Job Summary


  • We are looking for a Front Desk Administrator to undertake all receptionist and administrative duties at the desk at our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make.
  • The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information.
  • A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.

Responsibilities

  • Provide customer service, answer all incoming calls in a professional and courteous manner, scheduling appointments, and processing payments.
  • Greet all visitors and clients in a warm and welcome manner, provide assistance and direct client to the appropriate individual or department
  • Monitor and order office supplies as needed, ensuring that there is an adequate supply at all times
  • Prepare outgoing mail and correspondence, including emails, and packages
  • Receive and sort incoming mail and deliveries, distributing as necessary
  • Coordinating travel arrangements for executives and staff members such as business trips or team bonding
  • Coordinating office events such as meetings or conferences
  • Preparing expense reports and maintaining expense account records
  • Maintain contact list, processing incoming mail and distributing outgoing mail
  • Ensure cleanliness and organization of the front office area and common areas.
  • Manage and maintain conference rooms, scheduling as needed and ensuring that they are clean and ready for use
  • Create and maintain filing systems, both electronic and paper
  • Provide administrative support to the team as needed, including but not limited to data entry, preparing reports and presentations.

Requirements

  • Bachelor's Degree in Business Administration or relevant field.
  • Proven administrative experience in a front office setting
  • Experience developing internal processes and filing systems
  • Comfortable handling confidential information
  • Written/Verbal communication skills, time-management skills and multitasking ability.
  • Proficient in Microsoft Office, with aptitude to learn new software and systems
  • Ability to adapt to changing situations in a calm and professional manner
  • Familiarity with medical terminology and billing procedures.
