Job Summary

  • The Head of Operations at Del York Creative Academy (DCA) serves as the operational cornerstone of the institution, orchestrating administrative, logistical, and operational functions to create an optimal environment for creative education excellence.
  • This executive leadership position requires exceptional organizational acumen, strategic vision, and the ability to seamlessly integrate diverse operational components including facilities management, administrative procedures, student services, resource allocation, and regulatory compliance.
  • The role is pivotal in translating DCA's creative and educational vision into efficient, sustainable operational realities.

Key Responsibilities
Strategic Operational Leadership:

  • Develop and implement comprehensive operational strategies aligned with DCA's mission, growth objectives, and educational vision.’
  • Lead strategic planning for operational infrastructure development, expansion initiatives, and organizational efficiency.
  • Create operational policies, procedures, and systems that support academic excellence and creative innovation
  • Establish operational KPIs and performance metrics to monitor institutional effectiveness.
  • Collaborate with executive leadership to align operations with long-term institutional goals and market positioning.

Facilities and Asset Management:

  • Oversee all aspects of campus facilities including studios, classrooms, production spaces, offices, and common areas.
  • Develop and implement maintenance protocols, renovation schedules, and facility improvement plans.
  • Manage relationships with property management, security services, and facilities vendors.
  • Ensure optimal utilization of physical spaces and resources across all programs and departments.
  • Lead planning and execution of facility expansion projects and infrastructure improvements

Academic Operations Support:

  • Coordinate operational aspects of academic calendar planning, course scheduling, and classroom assignments.
  • Oversee registration processes, attendance tracking systems, and student records management.
  • Facilitate resource allocation for academic programs including equipment, materials, and specialized needs.
  • Collaborate with department heads to identify and address operational requirements for curriculum delivery.
  • Implement systems to monitor and enhance educational delivery quality and operational support

Staff Management and Development:

  • Recruit, train, and supervise administrative and operational staff across multiple departments.
  • Establish performance management systems and professional development opportunities for operational personnel.
  • Foster a collaborative, efficient work environment that supports DCA's creative and educational mission.
  • Manage staff scheduling, leave administration, and human resource documentation.
  • Serve as liaison between administrative staff and academic faculty to ensure cohesive institutional functioning

Financial Operations Oversight:

  • Collaborate with finance department on budget development, implementation, and monitoring.
  • Oversee operational expenditure management, cost control initiatives, and resource optimization.
  • Implement procurement procedures and vendor management systems.
  • Develop financial forecasting models for operational needs and expansion planning.
  • Identify opportunities for operational cost efficiencies without compromising educational quality

Student Services Management:

  • Oversee comprehensive student services including housing coordination, transportation, cafeteria operations, and recreation.
  • Develop and implement student welfare policies and support systems.
  • Coordinate with academic departments to address student operational needs and concerns.
  • Establish protocols for managing student feedback and operational issue resolution.
  • Create systems that enhance student experience through efficient, responsive operational support

Regulatory Compliance and Risk Management:

  • Ensure DCA's operations comply with all relevant educational, safety, and business regulations.
  • Develop and maintain health and safety protocols across all facilities and activities.
  • Implement risk assessment procedures and mitigation strategies for operational vulnerabilities.
  • Oversee insurance requirements, documentation, and claims management.
  • Establish emergency response protocols and business continuity planning.

Technology Infrastructure Management:

  • Direct the development and maintenance of DCA's technology infrastructure and systems.
  • Oversee implementation of administrative software, learning management systems, and operational technologies.
  • Coordinate IT support services for staff, faculty, and students.
  • Develop technology upgrade plans and implementation strategies.
  • Ensure data security, privacy compliance, and information management protocols.

Qualifications Required

  • Bachelor's degree in Business Administration, Operations Management, or related field; Master's degree preferred.
  • Minimum 8-10 years of progressive operations management experience with at least 5 years in senior leadership roles
  • Demonstrated expertise in facilities management, administrative systems, and operational optimization.
  • Strong understanding of financial management principles and budgetary oversight.
  • Experience implementing and optimizing operational policies and procedures.
  • Proven track record in staff management, development, and operational team leadership.
  • Excellent project management skills with ability to oversee multiple complex initiatives simultaneously
