Personal Assistant to Executive Director

Job Position: Personal Assistant to Executive Director
Job Location:
 Lagos

Job Purpose


  • Presides over the management of the Executive Director’s office with functions including industry research, presentations for events and written communication.
  • Provide oversight of her other investments and businesses outside of the company.
  • Event management documentation and content creation for her not-for-profit organizations.
  • Relationship management and engagement of institutions she is affiliated with.
  • First line review of documents sent to the office of the Executive Director and accurate documentation of all meetings.
  • Provides senior level secretarial, organizational, coordinate logistics and complex diary management for the Executive Director.

Key Result Areas:

  • Executive Director’s technical writing including presentations, reports, letters, articles, and speeches where appropriate.
  • Provision of minutes of meetings and executive summaries for the meeting attended with or/ on behalf of Executive Director.
  • Handling communications on behalf of the Executive Director, including daily maintenance of dairy, arranging/accepting meetings and telephone calls maintain and manages diaries and meeting commitments.
  • Carryout proper tracking of the Executive Director’s schedules, deliverables, and activities to keep projects on schedule to ensure the consistent and procedural performance of routines.
  • Organize and coordinate corporate travel and accommodation arrangements for the Executive Director and external parties on the Executive Director’s request.
  • Work with the Technical Assistant to support research trends and industry related activities for potential business opportunities.
  • Preparing agendas and making arrangements for the Management Committee and other meetings. Taking minutes and noting action points agreed and ensure that the Executive Director is well-briefed for all meetings.
  • Represent Executive Director in a professional and congenial manner in person, in telephone conversations, and in written correspondence.
  • Coordinates and manages Executive Director and project team correspondence with external parties, project teams, and business partners.
  • Drafting, reviewing, recommending/ advising on legal, commercial and cognate agreements and documentation.
  • Maintain a good level of confidentiality and safeguarding of Executive Director’s documents, decisions, conversations/correspondence Information.
  • To be the first point of contact for all inquiries related to the Executive Director; ensuring that they are acted upon efficiently and to a high standard or fielded effectively
  • Direct contact with the company secretary and board members to schedule board meetings and other board communication as well as with NGMC and NGPTC on behalf of Executive Director.
  • Direct contact with the NGA secretary and council members to schedule meetings and other council communications.
  • Adhere to stated policies and procedures relating to health and safety, and quality management.
  • Perform other job-related assignments and requests of the Executive Director.

Requirements

  • Educational level: BSc/HND in Arts, Law, Social Sciences or Business related field.
  • MBA, Masters in related field are added advantage.
  • Other certifications : Professional qualification in NIM, ICSA etc. Are added advantage.
