Base Operations Coordinator

Job Summary

Responsible for preparation, evaluation, and submission of tenders for EPC projects in the upstream energy sector. Oversees the daily operations of the base

 

 

Tender Preparation

l  Prepare comprehensive and competitive tenders, ensuring all technical, commercial, and contractual requirements are addressed.

l  Collect relevant technical information from internal departments, contractors, and vendors.

l  Evaluate the scope of work for tenders in mechanical & piping, electrical & instrumentation, and civil engineering, ensuring alignment with client specifications.


l  Support the finance and procurement teams in preparation of quotations and invoices

 

Operational Management

l  Prepare weekly activities report of site operations

l  Prepare and keep project document filings

l  Oversee daily operations of facility management services, including maintenance, cleaning, security, and landscaping.

l  Implement and monitor standard operating procedures (SOPs) to ensure efficient operations.

 

Client Engagement and Communication

l  Liaise with clients, consultants, and internal teams to ensure clear communication and understanding of the scope and technical requirements.

l  Attend pre-tender meetings, clarifications, and site visits as necessary to gather relevant information.

 

Compliance

l  Ensure all tender submissions are fully compliant with client requirements, company policies, and industry regulations.

l  Review and validate all tender documents for technical accuracy and completeness before submission.

l  Ensure renewal of licenses and other regulatory compliance in a timely manner before expiration

 

Business Development

l  Work with executives to implement marketing strategies and new opportunities

l  Develop pitching ideas and proposals for potential investors

l  Develop new relationships in an effort to grow business and help company expand

l  Search of potential clients and new projects opportunities.

 

Key Requirements and Skills

l  Bachelor's degree in Mechanical, Electrical, or Civil Engineering.

l  Relevant certifications in project management, procurement, or tendering such as PMP, PRINCE2, CAPM, CIPS, CSCP, and CCP.

l  At least six (6) years of experience in tender preparation and submission within the EPC or energy sectors, particularly in the upstream oil and gas industry.

l  Proven experience of NIPEX portal , preparation of technical/ commercial bids and submissions

l  High level of accuracy and attention to detail in all aspects of tender preparation.
