Job Summary


  • We are seeking an experienced and highly capable Executive Assistant to provide comprehensive support to the Chairman/Head of Chambers at Alex Izinyon and Co.
  • This role requires exceptional organizational skills, discretion, and the ability to manage a wide range of tasks, ensuring seamless coordination and efficiency in the Chairman's daily operations.

Responsibilities

  • Proactively manage the Chairman’s calendar, scheduling appointments, meetings, and conferences, ensuring optimal time allocation for various commitments.
  • Draft, edit, and proofread emails, memos, reports, and other written materials on behalf of the Chairman, maintaining professionalism and accuracy in all communications.
  • Assist in special projects and initiatives, conducting research, gathering data, and providing insights to contribute to decision-making processes.
  • Handle sensitive and confidential information with the utmost discretion, maintaining trust and confidentiality at all times.
  • Identify urgent matters and manage competing priorities effectively to ensure the Chairman’s time is optimized.
  • Prepare presentations, reports, and materials for various meetings and engagements, ensuring accuracy and alignment with the Chairman's objectives.
  • Manage the Chairman's inbox and prioritize emails, responding to urgent messages as needed.
  • Maintain a structured system for organizing and archiving confidential documents, records, and information, facilitating quick retrieval when needed.
  • Arrange complex travel itineraries, including flights, accommodations, transportation, and visa requirements, considering time zones and potential conflicts.
  • Prepare agendas, gather relevant materials, and provide support during meetings, conferences, and events; take accurate minutes and follow up on action items.
  • Act as a liaison between the Chairman and internal staff, clients, partners, and external stakeholders, representing the Chairman in a professional and courteous manner.
  • Screen phone calls, direct as appropriate, or take messages.
  • Coordinate catering for meetings and events.
  • Stay up-to-date on industry trends and developments.

Qualifications and Requirements
Required:

  • Bachelor's Degree in Business Administration, Law, or any other related field.
  • 2- 4 years of experience as an Executive Assistant or in a similar high-level administrative role.
  • Strong written and verbal communication skills with an excellent command of English.
  • Strong interpersonal skills and the ability to interact effectively with individuals at all levels.
  • Flexible and adaptable to changing priorities and requirements.
  • Proficiency in using office software (Microsoft Office Suite, Google Workspace, etc.) and the ability to quickly adapt to new tools and technologies.
  • Exceptional organizational skills and attention to detail.
  • Ability to maintain composure under pressure and handle sensitive information with professionalism.
  • Discretion, integrity, and a high level of professionalism.

Desirable:

  • Experience as an Executive Assistant in a Law firm.
  • Specialized skills, such as experience with legal research or drafting documents.
