Job Summary


  • We are seeking a highly organized and proactive Personal Assistant to provide executive support to the Chief Operating Officer (COO) of our group of companies.
  • This role requires exceptional multitasking skills, discretion, professionalism, and the ability to manage a dynamic and fast-paced schedule.
  • The ideal candidate will be efficient, detail-oriented, and thrive in a high-performance, confidential environment.

Key Responsibilities

  • Manage the COO’s daily schedule, calendar, and appointments across multiple businesses
  • Coordinate meetings, prepare agendas, take minutes, and follow up on action points
  • Handle confidential correspondence, calls, and emails on behalf of the COO
  • Liaise with internal teams and external stakeholders professionally
  • Assist in the COO’s personal errands and special projects
  • Organize business travel, accommodations, and logistics
  • Prepare reports, briefs, and presentations as required
  • Maintain an efficient filing and document management system
  • Ensure the COO is well-prepared and supported for all engagements

Requirements

  • Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field
  • 3+ years of experience in a similar executive or personal assistant role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and in management/administrative tools and software.
  • Exceptional organizational and time management skills
  • Discretion and trustworthiness with confidential information
  • Excellent communication and interpersonal skills
  • Willingness to travel
  • Proactive and able to work independently with minimal supervision
  • Strong attention to detail and ability to anticipate needs

Preferred:

  • Experience supporting C-level executives in a group or holding company structure
  • Familiarity with business operations across multiple industries
