Job Position: Office Administrator (School)

Job Location: Lekki, Lagos
Employment Type: Full-time

Summary

  • The primary responsibility of the Administrative Assistant is to coordinate all front office activities of the school to ensure the highest standards of professionalism.
  • The Administrative Assistant is also responsible for performing routine clerical and administrative functions such as drafting correspondence, scheduling facility tours and appointments, organizing and maintaining records and providing general information to student families and visitors.

Duties & Responsibilities

  • Greets and assists visitors, responds to a variety of phone and/or email requests/inquiries (Procare) from parents and/or staff in a timely professional and courteous manner;
  • Database management, to include the creation, maintenance, and entry of confidential information;
  • Creates and revises systems and procedures by reviewing operating practices, record-keeping systems, forms control, and office layout and implements changes.
  • Manages filing systems and attendance records.
  • Maintains supply inventory, anticipates needs, places orders and verifies receipt of supplies; Maintains office equipment and arranges for repairs as needed;
  • Shares responsibilities for opening and closure of office daily;
  • Develops and maintains all calendars including staff, monthly calendar, vacation calendar and scheduling of on or off-site school-sponsored events;
  • Schedules meetings and other arrangements for staff;
  • Communicates and cooperates with other departments to ensure coordination of school activities;
  • Ability to administer first aid and/or CPR;
  • Performs other duties and responsibilities as assigned;
  • Regularly stand for prolonged periods of time over the course of an 8-hour day;
  • Ability to position oneself onto and up from a chair up to 20 times per day;-
  • Frequently communicates to exchange information via written, auditory, and oral communication;
  • Ability to work up to 40 hours per week, including overtime if needed;
  • Ability to care for and lift preschool-aged children;
  • Occasionally lift and/or move up to 35 pounds; and
  • Other duties as assigned.

Requirements / Qualifications

  • Excellent verbal and written communications skills;

  • In-depth knowledge of administrative management and related functions;

  • Requires a high degree of mutual trust and reliability.

Education and Experience:

  • Must have School Leaving Certificate
  • Associate or Bachelor's Degree in Early Childhood Education, Child Development, Child, Family and Community, Preschool Curriculum or another related field preferred;
  • Language, Mathematical, and Reasoning Skills;
  • Possesses excellent basic mathematical skills including the ability to add, subtract, multiply and divide quickly without a calculator;
  • Ability to speak effectively and communicate with children, parents/guardians, and other staff members;
  • Possess sufficient computer skills to allow for proficient use of web-based applications, Microsoft Office, and other company-issued software;
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule format; and
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where broad standardization exists.
  • 2 years Experience.

Special Requirements:

  • Current Pediatric CPR and First Aid certification preferred;
